Bowles Plaza

Bowles Plaza is a reservable outdoor space located between Mallinckrodt Center and Umrath Hall on the Danforth Campus. Bowles Plaza contains an ampi-theater that will seat approximately 200 people. Please see the < Event Services Reservation Policies> for information about reserving this space.

Service Providers

1) Clients are required to use the University's exclusive ground maintenance company to provide additional trash receptacles and cleaning services for all events having 50 or more attendees and/or serving food and beverages. Services should be ordered five business days prior to the event date through the Facility's Customer Service Desk at facilities@fpm.wustl.edu or 935-5544. Client is responsible for all charges. 2) Clients are required to use the University's housekeeping service for the post cleaning of Mallinckrodt Center's rest rooms and public spaces for all events having 50 or more attendees. Contact Housekeeping at boss@fpm.wustl.edu or 935-9314 to order services. Clients are responsible for all charges.

3) Please present Housekeeping with a purchase order number for billing no later than one week prior to the event. Housekeeping will invoice clients directly for services rendered.

4) Event Services reserves the right to have Housekeeping or Grounds Maintenance to set and tear down any miscellaneous equipment such as structures, tables, staging, etc. Clients are responsible for all charges.

5) Clients needing access to electricity or water should order these services at least two weeks prior to the event date through Facility's Customer Service Desk at facilities@fpm.wustl.edu or 935-5544. Client is responsible for all charges.

Availability and Access

1) Because Bowles Plaza is used for dining seating during good weather, events booked Monday – Friday between 10:00 a.m. – 3:00 p.m. must accommodate this open seating.

2) Bowles Plaza may be booked for private events after 3:00 p.m. Monday – Fridays and on Saturday and Sunday from 8:00 a.m. – 1:00 a.m.

3) Restrooms available for events held in Bowles Plaza are located in the lower level of Mallinckrodt Center. Umrath Hall restrooms are not available for use.

4) Overnight events are not allowed.

Furnishings and Equipment

1) All furnishings and equipment for events in Bowles Plaza must be rented from an outside contractor. Contact Event Services at events@wustl.edu or 935-5234 for recommendations and assistance.

2) Clients wanting to erect any structures or display must contact Event Services at events@wustl.edu or 935-5234 for approval and further instructions.

3) Clients wanting to erect tents should contact Event Services at events@wustl.edu or 935-5234 for approval and further instructions. Tents should be weighted but not staked. Tents 400 net square feet or more will require a permit from St. Louis County Government.

4) The furniture on the Hilltop Bakery Patio may not be moved from the patio.

5) All furniture, equipment, structures or any other items must be delivered and removed from Bowles Plaza within the reservation period. Delivery or pickup of rental equipment exceeding reservation period must be approved in advance by Event Services.

6) Equipment, paper materials, food, beverages or other items may not be stored past the reservation period. Any leftover items will be disposed of by Event Services, and clients will be responsible for additional disposal charges.

Catering/Food and Beverages

1) Clients and caterers must adhere to these polices and procedures.

2) Clients providing their own food and beverages must review the Food Distribution Policy and complete the Food Distribution Application . A copy of the approved Food Distribution Application must be readily available for review throughout the event hours.

3)    Clients and/or their caterers must completely remove leftover food, beverages and equipment at the end of the reservation period. Leftover food, beverages, ice, etc. may not be disposed of in trash cans. All left over items will be disposed of by Event Services, and clients will be responsible for additional disposal charges.

4) Client must comply with all University policies relating to alcohol.

Deliveries and Pick Ups

1) All deliveries and pick-ups must be made through the east dock of Mallinckrodt Center. Delivery vehicles must move from the dock immediately after off loading. Please contact Parking and Transportation at 935-5601 to make arrangements for vehicle parking.

Undergraduate Students and Student groups

Graduate Student Groups

School specific graduate student groups should contact the Dean's office within their school for more information.

Additional Policies

1) Events with sound amplification may be required to obtain a noise variance. Contact Event Services at events@wustl.edu or 935-5234 for more information.

2) Depending on the nature of the event (parties, concerts, etc.), event security may be required.

3) Nothing can be attached to trees, light poles or any other stuctures.

3) Events must not interfere with patrons or other events within Mallinckrodt Center or Umrath Hall.

4) Clients will be held responsible for any damages related to their event.

5) Requests for exceptions should be put in writing and sent to events@wustl.edu. These requests will be reviewed by the Event Services Advisory Board. Please allow a minimum of two weeks for review.

6) Event Services reserves the right to prohibit clients, attendees, caterers and other contractors from booking or servicing the reserved space if stated policies and procedures are violated.
